    What a real fleet platform actually does

    At a minimum, an AirTag fleet platform needs to handle the operational pieces the consumer app skips: shared team access, custom alerts, geofences you can draw, and a way to attach meaning to each asset (rental status, customer assignment, crew, condition). Beyond that, the better platforms add the workflow pieces that turn raw location into actual ops:

    • Live customer links — send a renter a one-time link to their delivery
    • Overdue alerts — set a return time, the system handles the texts
    • Theft mode — tighter update intervals and a paper trail for police
    • Per-site geofences — alerts on entry, exit, or both, by asset class
    • Webhooks — push location events into your rental, dispatch, or billing software
    • Bulk import — onboard 100 tags in 20 minutes instead of one at a time

    What to ask before you buy

    Most pitch decks gloss over the questions that matter on the yard floor. Ask these:

    1. Where does my data live? Some platforms require you to use their Apple ID for every tag. That means if you cancel, you lose the tags. Insist on knowing whether you own the underlying account.
    2. What happens at my real fleet size? Many tools work fine at 10 assets and fall apart at 100. Ask to see a live demo with 50+ tags on the screen at once.
    3. Who answers the phone when something breaks? Ask for the support channel and response time in writing. "Email us" is not a support plan.
    4. Can I export my data? If you can't take your location history with you, you don't really own it.
    5. Do you support multiple tag brands? If you're locked to one manufacturer, your costs are at the mercy of that manufacturer.
    6. Is the price per device or per asset? Per-device pricing means a tag you forgot to remove keeps charging you. Per-asset pricing tracks what you actually care about.

    • Vague answers on rural coverage
